the groundwork

Get the foundation to

grow a movement

In 6 weeks, we build you a personalized CRM system that is an extension of you, not another thing to manage.

You're the kind of leader who makes things work. Even when the systems don't.

You want to stop being the system, and start being the leader.

You don't know where to start. You think you should be able to handle this yourself. You worry you'll set it up wrong and have to redo it later. You look at the mess and feel defeated.

You've tried to clean up and categorize your contact lists. Started a new spreadsheet to track everything in one place. Half-set up a CRM and abandoned it.

So you tell yourself you'll fix it next quarter, when things slow down. But things never slow down.

Meanwhile, you're still sending follow-ups one at a time.

Copy-pasting data between tools. Onboarding new staff from memory.

Imagine being the kind of organization that others look to as the leading example.

Imagine if communication could happen automatically, data flows where it needs to go, and your team can run things without you having to answer to every question.

Imagine walking into board meetings, funder conversations, and team huddles with clarity, not explanations.

What would that mean for you?

Could you grow your community faster because you stopped losing people to someone forgetting to follow up?

Would you become the the kind of place that others trust with bigger asks. The kind your team brags about working for because the systems are just that good.

The Groundwork

We figure out what you need, personalize it around how you work, and train your team to run it.

"Before working with Hailey, we knew we needed a stronger foundation to build on. We had opportunities in front of us, but our systems and processes weren't fully supported for the growth that we wanted. She's unlocked so many opportunities for our organization by helping us streamline communication, organize workflows, and create a much stronger operational foundation. It's not just about having a CRM. It's about having the right partner and the right system to support long-term growth."

Melissa, Nonprofit Marketing Manager

What's included

4 to 6 weeks of done-for-you setup of your relationship management systems.

Week ONE

Pre-Questionnaire

An abbreviated version of our Movement Map so we know exactly what to build for your work specifically. Not a generic checklist. A real read of what's going on inside and out.

Week TWO

Clean Your Contacts

Your contacts, organized, deduplicated, segmented and tagged. Plus all custom fields identified and set up for you so whatever you actually need to track, it's tracked properly.

Week THREE

Journeys to Pipelines

We'll review and streamline your donor cultivation, partner conversations, offer onboarding, volunteer recruitment, and any way people start working with you. Then we set up the visual stages.

Week FOUR

Forms That Connect

Contact, sign-up, application, registration. Built once, embedded everywhere, automatically connected to your CRM.

Week FIVE

Priority Automations

Post-event follow-up, welcome sequences, stewardship triggers. The handful that will reclaim the most time. Built and tested. So every send looks like you, not like a generic system.

Week SIX

Training Your Team

A live session walking your team through how it all works. Plus written guides they can reference forever. So your team can find their way around without you being the answer.

"Before working with Echoroot, I ran my nonprofit and business out of Outlook, that was the whole system. She helped me launch my websites (one for my consulting business and one for my nonprofit), built a CRM with opportunity pipelines, the custom membership portal and the automations that are helping me grow and engage existing and prospective members and clients. For the first time I have an actual foundation underneath my work, and a realistic path to scaling engagement globally, one member and client at a time. If you're a founder who's been holding it all together with memory and good intentions, Hailey can work with you to build a custom scalable solution."

Donald, Nonprofit Executive Director

Three phases. Six weeks.

One foundation that holds your growth.

Phase One: The Diagnostic

  • We start with a focused mapping session so we can see exactly what your work needs. Not a generic build template. A custom plan based on how your work actually runs. By the end of this phase, you'll have a clear scope of what we're building and in what order. No surprises. No scope creep.

Phase Two: The Build

  • This is where we roll up our sleeves. Over the next 4 to 5 weeks, we configure, test and refine every piece of your foundation. You review along the way. We adjust based on your feedback. We document every decision so you and your team can find your way around once we hand it over.

Phase One: The Handoff

  • We train your team in a live session, walking them through how everything works. We give them written guides they can reference forever. We make sure the system runs the way you run, not the other way around. When we step back, your foundation is built, your team knows how to use it, and you have a real platform to grow from.

STILL NOT SURE?

Frequently Asked Questions

Is The Groundwork right for established organizations or growing ones?

Both. Whether you've been operating for ten years and your systems can't keep up anymore, or you're newly funded and want to build right the first time, The Groundwork meets you where you are. The point isn't to fix what's broken. It's to set you up to grow into who you're becoming.

How long does it take?

4 to 6 weeks from the diagnostic session to the team handoff. Some builds finish in 4 weeks. Larger or more complex builds take the full 6.

What if our team isn't tech-savvy?

The Groundwork is built around how your team actually works, not the other way around. We train your team and document everything in plain language.

What if we need more than what's in the scope?

We'll talk about it at the diagnostic stage and scope the right level of support. If you need significantly more, The Ecosystem might be a better fit.

What happens after the engagement ends?

You have a fully built foundation your team can run.

What software do you use?

A lot of our clients ask for dream software that can do it all, so we've tried and tested all kinds of software that promise to do just that and decided that GoHighLevel is the best because of all the features included for the best price. We'll exclusively build out a personalized version of the all-in-one CRM software, GoHighLevel, for you. Software subscriptions are paid for separately from our set up.

How much does it cost?

In our call, we'll discuss your budget and adjust the scope to fit it, but it really depends on your organization. Do you have 100 contacts or 10,000 contacts? Is it just you or do you have a large team? The size and complexity of your organization all influence how much there is to clean up and set up. Typically the cost ranges anywhere from $2,000 CAD to $8,000 CAD. We do offer payment plans to support you.
